How to Search Johnson County Criminal Court Records by Name or Case Number

The Kansas District Court Public Access Portal provides online access to eligible case information maintained through the statewide eCourt system.

Its Smart Search function allows searches using a party name or record number, with advanced filters for narrowing the results.

The Judiciary’s September 2025 Smart Search instructions confirm that users must register before performing a search.

Kansas District Court Public Access Portal

Official search address:
https://search.kscourts.gov/

The Judiciary also publishes the portal address at prodportal.kscourts.gov/prodportal.

Step-by-step: Johnson County criminal case lookup

  1. Open the Kansas court portal

Use the official Kansas Judicial Branch public access website, rather than an unofficial third-party search form.

  2. Register or sign in

Select Register or Sign In. Registration is required for Smart Search, but a basic public search account does not itself require purchasing a background-check report.

  3. Choose Smart Search

Open the portal’s Smart Search feature to search court information by record number or party name.

  4. Enter the case number or defendant’s name

If you know the case number, enter it using the applicable old or new format. For a name search, follow the portal’s surname-first instructions.

  5. Use advanced filtering options

Narrow the results to Johnson County and the appropriate criminal case category if those filtering options are displayed.

  6. Complete the security verification

Check the displayed reCAPTCHA verification box, then submit the search.

  7. Review possible matches

Compare the case number, filing county, party information, case type and other available details before selecting a record.

  8. Open the criminal case docket

Review the available register of actions, including court dates, criminal filings, orders and recorded dispositions.

  9. Request documents when necessary

If a certified judgment or older public filing is unavailable online, contact Johnson County District Court Records Management.

Is the Kansas eCourt criminal case search free?

Yes. The Kansas Judicial Branch provides public portal access to eligible court case information without charging a standard statewide criminal-history search fee.

However, viewing a docket is not equivalent to obtaining every original filing. Copying, certification or other record-production services may involve fees.

Important: The eCourt portal is for public court records. The separate Kansas Bureau of Investigation criminal-history search costs $30. Do not confuse the KBI payment page with the Judiciary’s public case-search portal.

Old JIMS numbers and the statewide eCourt format

Johnson County Criminal Case Number Formats: CR and JO-YYYY-CR

Johnson County’s transition from its local Justice Information Management System (JIMS) to Kansas eCourt changed how newly initiated District Court cases are numbered.

The Kansas Judicial Branch’s published Smart Search guide specifically addresses Johnson County cases initiated before and after October 28, 2024.

Case period Example criminal case number Explanation
Case initiated before October 28, 2024 24CR00001 Two-digit year, criminal case code and five-digit case sequence
Case initiated after October 28, 2024 JO-2024-CR-00001 Johnson County identifier, four-digit year, criminal case code and sequence
Current criminal case JO-2026-CR-xxxxx Illustrative structure for a 2026 criminal filing; replace x characters with the actual sequence number

The examples above illustrate numbering formats; they are not specific criminal cases being identified.

What does CR stand for?

CR identifies a criminal case category. It does not prove a conviction or reveal the seriousness of every charge by itself.

The full case docket and charging documents are needed to determine the filed offenses and their outcomes.

How to search an old JIMS case number

If an older judgment or court notice uses a number such as 24CR00001:

  1. Try the original case number in Kansas Smart Search.
  2. Check whether the portal requires another formatting variation.
  3. Use the defendant’s name if the case number does not match.
  4. Apply Johnson County as a filter where available.
  5. Contact Records Management if the historical case cannot be located.
Why this matters: A criminal case from 2023 or early 2024 may carry a Johnson County JIMS-style number, while a later 2025 or 2026 filing ordinarily follows the new statewide Kansas eCourt format.

How to Find Johnson County Criminal Court Dockets and Hearing Dates

A criminal court docket, sometimes described as the register of actions or events index, records the procedural history of a case.

The docket is useful when you need to determine whether a hearing was scheduled, a motion was filed, a plea was entered, a court order was issued or a case reached a final disposition.

What information can a criminal docket contain?

Docket information What it tells you
Case number and caption The case’s official identifier and named parties
Criminal complaint or information The allegations formally filed with the court
Initial appearance An early scheduled proceeding in the criminal case
Bond or release conditions Orders concerning pretrial release, when publicly available
Attorney appearance Identification of an attorney associated with the proceeding
Arraignment or plea Formal charge response or plea-related activity
Motion and order A party’s request to the court and, where entered, the court’s ruling
Continuance A hearing or deadline has been postponed or rescheduled
Disposition The reported outcome of a case or individual charge
Sentencing Court action imposing the applicable sentence or other consequences
Journal entry A filed Kansas court order documenting a ruling, judgment or other action
Probation-related event Later supervision, violation or revocation proceeding, when applicable

How to find the next criminal court date

  1. Open Kansas District Court Public Access Portal.
  2. Search by the Johnson County case number.
  3. Open the matching criminal docket.
  4. Review the scheduled event and assigned division.
  5. Confirm whether the hearing is in person or remote.
  6. Contact the assigned court if the listing is uncertain or has changed.

June 2026 Johnson County docket reassignments

The Johnson County District Court posted an announcement concerning court docket reassignments effective June 1, 2026.

Courtroom and judge assignments may therefore differ from older notices or unofficial court directories.

The court also conducts both in-person and Zoom hearings, with the assigned judge determining the required format.

Johnson County District Court — Current Dockets and Divisions

Do not miss a hearing: Online docket information can change. If you are a party, defendant, witness or attorney required to appear, verify the current court notice and division instructions instead of relying solely on an old saved docket.

  • Order certified copies of judgments and dispositions.

Certified judgments and official court files

How to Request Certified Johnson County Criminal Court Records

The Kansas public portal can identify a criminal case and its docket activity, but an online case summary is not always accepted as official proof of conviction, dismissal or sentence.

A court, licensing agency, immigration authority or another recipient may require a certified court document.

Documents commonly requested

  • Journal Entry of Judgment
  • Judgment of conviction
  • Sentencing order
  • Order of dismissal
  • Disposition of a specific criminal charge
  • Order concerning diversion or completion of diversion
  • Probation-related order
  • Expungement order, if the requester is legally authorized to obtain it

Step-by-step certified record request

  1. Find the case number

Search the Kansas public portal, or obtain the number from the original court paperwork.

  2. Identify the filing court

Confirm that the case belongs to Johnson County District Court rather than Olathe, Overland Park or another Municipal Court.

  3. Specify the document needed

Ask for the judgment, sentencing journal entry, dismissal or other particular document instead of requesting the entire case file without explanation.

  4. Contact Records Management

Call 913-715-3480 and confirm whether the document is publicly available, digitally retrievable or held in an archive.

  5. Submit a written court records request

Provide your contact information, case identifiers and preferred delivery method. The Kansas Judiciary provides an official court records request form.

  6. Indicate whether certification is required

Specify whether a regular copy, certified copy or another form of authentication is necessary.

  7. Confirm and pay applicable charges

Ask the Clerk for the current copy, certification, research or delivery charges before submitting payment.

  8. Review the resulting document

Check the defendant name, case number, filed charges, final disposition and any later orders before using the record.

Kansas Judicial Branch — Court Records Request Form

The official Kansas Open Records Act request form permits a requester to identify the specific District Court, describe the records needed and choose email, mail, pickup or fax as the preferred delivery method.

Download Official Court Records Request Form

Are older court documents available online?

Not necessarily.

Kansas explains that while case information can be available in the statewide portal, electronically accessible filed documents generally begin when the relevant court started operating within Kansas eCourt.

Johnson County went live on November 5, 2024. Some earlier records may have migrated case information but not the full historical document images.

For historical case files, ask the Clerk about the original or archived record.

Official document limitation: Do not assume the absence of a downloadable PDF means that the underlying public filing does not exist. The courthouse may maintain documents not offered through the online portal.

Court searches and criminal-history fees

How Much Does a Johnson County Criminal Records Search Cost?

The price depends on which records system you use and whether you need a docket, printed filing, certified judgment or statewide KBI criminal-history check.

Service Published price or access Important note
Kansas District Court Public Access Smart Search Free registration and basic public search Available public District Court case information
Public courthouse terminal Free viewing Public electronic case files; restrictions apply
Clerk-produced court document copies Quote required Copying, staff-time and delivery charges depend on the request
Certified criminal court copy Quote required Ask Records Management about current certification charges
KBI public name-based criminal-history search $30 Statewide Kansas criminal-history check; KanAccess account required
KBI fingerprint-based criminal-history search $45 Kansas record check; fingerprint-collection charge may be separate
KBI complete personal criminal-history review $45 Fingerprint card and mailed request required
KBI certified name-based record check $40 Mailed application, not the ordinary online service
KBI certified fingerprint-based record check $55 Mailed certified record-check procedure

Sheriff’s printed incident report First five pages free; $0.35 each additional page Staff-time or other approved charges can apply
Sheriff’s Inmate Search Free Custody information, not a full criminal-history report

The statewide court expungement amount is based on the Kansas Supreme Court’s published fee schedule. The $30 and $45 criminal-history amounts are published through the Kansas government’s current criminal-history service.

A Johnson County District Court copying request should be priced by the Clerk before payment. Do not rely on rates published by unofficial court-record websites as though they were a current courthouse quotation.

City criminal cases may use different courts

Johnson County Municipal Criminal Court Records: Olathe, Overland Park and Lenexa

Not every criminal or traffic-related proceeding in Johnson County is filed in Kansas District Court.

City Municipal Courts handle qualifying ordinance violations, misdemeanor matters and local traffic cases within their jurisdiction.

If a citation names a Municipal Court, use that court’s case-search or records procedure before searching Johnson County District Court.

Olathe Municipal Court Criminal Records

Olathe Municipal Court handles City of Olathe traffic and ordinance violations.

Official Olathe Municipal Court

The court provides links for open-records requests, ticket payments, discovery, continuances and diversion information.

For a City of Olathe citation, the municipal court may be the proper office even though the Johnson County District Court is also located in Olathe.

Overland Park Municipal Criminal Case Search

Overland Park provides its own Municipal Court public access system for eligible city cases.

Its published lookup instructions support:

  • Search by last and first name
  • Search by complaint or citation number
  • Search by court-assigned criminal case number

The Municipal Court portal uses a different case-number structure from Kansas District Court.

For example, the portal illustrates a number resembling CR-2013-0987654 for a municipal criminal case. That format should not be confused with a Johnson County District Court eCourt number.

Overland Park Municipal Court Public Access

Search Overland Park Municipal Cases

Follow the public portal instructions for the Searches and Cases menus. If searching by citation number, enter the full printed identifier, including letters.

Lenexa Municipal Court Records and Dockets

Lenexa provides an official online municipal court-record search.

Available public information can include upcoming dockets, scheduled court dates, final dispositions, and fines or fees owed.

Official Lenexa Court Records and Dockets

Lenexa warns that newly issued tickets may require several business days before they appear online.

If a court date or disposition is important, verify the information with the Municipal Court.

Shawnee, Gardner, Leawood and Other Johnson County Municipalities

Other Johnson County municipalities also maintain local court proceedings.

The appropriate court depends on the municipality and offense stated on the citation or complaint.

For a city ordinance charge in Shawnee, Gardner or Leawood, begin with that municipality’s official Municipal Court page. If the matter was filed under Kansas state law in District Court, use the statewide Kansas eCourt system.

Important distinction: Searching the correct city court can be more effective than repeatedly searching the Johnson County District Court portal for a citation that was never filed there.

Statewide criminal-history checks

Johnson County Court Records vs. Kansas Bureau of Investigation Background Checks

The Kansas Bureau of Investigation maintains the state’s Central Repository of criminal-history information.

A KBI background check is separate from a single Johnson County criminal court case.

The public Kansas criminal-history search may include qualifying adult Kansas convictions, recent arrests without recorded dispositions and active diversions within the rules established by state law.

What does the public KBI criminal-history report include?

The Kansas Bureau of Investigation identifies these commonly releasable categories:

  • Adult felony convictions under Kansas law
  • Adult misdemeanor convictions under Kansas law
  • Qualifying municipal ordinance convictions equivalent to state misdemeanors
  • Qualifying Kansas corrections confinement information
  • Arrests within the previous 12 months where the final disposition has not been received
  • Active diversion agreements not yet successfully completed

What does the ordinary public KBI report exclude?

  • Disposed arrests that did not result in conviction
  • Successfully completed diversions
  • Expunged criminal-history information
  • Juvenile offender records
  • Older arrests without received dispositions when excluded under KBI’s public release rules
  • Arrests and convictions arising exclusively in other states or federal courts

KBI — Kansas Criminal History Record Search

Public online name-based search: $30.

A KanAccess account is required. The service generally operates daily from 4 a.m. to midnight Central Time, with a scheduled maintenance window from midnight to 4 a.m.

Use the Kansas government criminal-history portal.

  2. Create or access a KanAccess account

Complete the required account setup and sign in.

  3. Read the disclosure rules

Review which Kansas criminal-history information may be released for your type of request.

  4. Enter the identifying information

KBI requires the person’s first and last name and date of birth for a name-based search. Additional identifying details can help distinguish similar names.

  5. Pay the search fee

The published charge is $30 per individual name search.

  6. Review the returned criminal history

Check whether the response identifies Kansas public criminal-history information matching the search.

  7. Resolve identity uncertainty

If a name-based match is questionable, KBI explains that fingerprint-based checks are more reliable.

How do you review your own complete Kansas criminal history?

Someone who wants a complete personal history, including information excluded from the ordinary public report, may submit a fingerprint-based request directly to KBI.

The published procedure requires a fingerprint card, personal written request and $45 fee.

Mailing address:
Kansas Bureau of Investigation
Attn: Criminal History Records Section
1620 SW Tyler
Topeka, KS 66612-1837

KBI also provides a process for challenging incorrect or incomplete criminal-history entries, including missing court dispositions.

Employment screening: Kansas KBI instructions state that when an employer requires an official criminal-history check for employment, the employer must initiate the appropriate request rather than improperly requiring the employee to obtain their full personal record for the employer.

Records involving ongoing criminal investigations or protected personal information may be withheld or redacted.

  5. Review the copying fees

The Sheriff’s Office publishes no charge for printed reports of five pages or fewer, with additional page and staff-time charges where applicable.

  6. Review the report against any court record

A police incident report describes law-enforcement activity, not necessarily a final criminal conviction.

Johnson County Sheriff’s published report charges

Records service Published charge
Printed police report, first five pages No charge
Additional report pages $0.35 per page
Printed photograph $5.50
Video copied to DVD or flash drive $22 per type
Staff research, redaction or reproduction time Additional cost based on applicable staff time

The Sheriff’s Office states that police report requests may take up to three business days, subject to the nature of the record and any disclosure restrictions.

Its Records Division does not accept credit or debit cards for these records requests.

Different investigating agency: If an incident was handled by Overland Park Police, Olathe Police, Lenexa Police or another city department, contact that department instead. The county Sheriff does not automatically maintain copies of every municipal police investigation.

Is a jail booking proof of a criminal conviction?

No. Booking information shows custody or detention processing, and a person may be awaiting a first appearance, held before trial or otherwise in custody without a final conviction.

Always review the related court judgment before describing someone as convicted.

Useful distinction: A person may appear in the Sheriff’s current inmate search before a complete criminal court docket is available. Booking and District Court case-management records update through separate agency systems.

Sealed and expunged criminal records

Johnson County Kansas Criminal Record Expungement

Kansas law permits expungement of certain arrest and criminal records when the applicable statutory conditions are satisfied.

Relevant Kansas statutes include:

  • K.S.A. 22-2410: Expungement of qualifying arrest records
  • K.S.A. 21-6614: Expungement of qualifying convictions and related criminal-history information
  • Other statutes governing particular offenses, dispositions or juvenile proceedings

Expungement generally restricts ordinary public access to the covered record, although certain agencies and specified legal purposes may retain authorized access.

Common reasons an expungement may be requested

Depending on eligibility, a petitioner may seek relief after:

  • A qualifying arrest that did not result in filed charges
  • An acquittal
  • A qualifying dismissal
  • Successful completion of an eligible sentence and waiting period
  • Completion of certain diversion or other qualifying dispositions

Not all offenses qualify, and waiting periods and exceptions differ by statute.

How to begin an expungement request

  1. Gather the criminal case information

Obtain the correct case number and disposition from Johnson County District Court or the applicable Municipal Court.

  2. Review statutory eligibility

Determine whether the case concerns an arrest, conviction, diversion or another qualifying category.

  3. Obtain the applicable Kansas forms

Use the Kansas Judicial Council or another officially approved form resource for the correct petition.

  4. File in the appropriate court

Follow the filing instructions for the court that handled the proceeding.

  5. Pay the applicable filing fee or request qualifying relief

The published statewide criminal expungement fee is $195, subject to current requirements and applicable exceptions.

  6. Respond to court notices

Follow any service, objection, hearing or additional-document instructions.

  7. Review the resulting order

If granted, retain the order and verify how it applies to the specific court and criminal-history records.

Why might an expunged case not appear online?

Kansas Supreme Court Rule 22 excludes expunged cases from ordinary public portal access.

However, a missing search result is not evidence by itself that the case has been expunged. The case could instead be filed in a Municipal Court, missing from online historical coverage or subject to another restriction.

Legal distinction: A sealed or expunged court file is different from a missing online case result. A valid court order and the governing statute determine what records are restricted.

What is the difference between a charge and a conviction?

A criminal charge is an allegation filed by the government. A conviction requires a legally recognized finding or plea of guilt resulting in conviction.

Other possible outcomes include:

  • Dismissal
  • Acquittal
  • Diversion agreement
  • Successful diversion completion
  • Plea to a different charge
  • Sentencing
  • Appeal
  • Expungement of qualifying records

A single criminal case may involve several charges with different dispositions.

Accuracy rule: Read the disposition of each criminal count separately and look for later journal entries or appellate action. Never describe a person as convicted merely because a police report or pending charge appears in a public system.
